Typical Day in the Role

  • Purpose of the Team: The purpose of this team is supporting the sale of ads sold on Bing and Edge
  • Typical task breakdown and operating rhythm: The role will consist of The role will consist of a variety of tasks including heavy calendaring, managing travel and operating expenses (OpEx), tracking OpEx for the team, pacing talks, interim approval, reviewing expense reports, and ensuring documentation and policy compliance. Additionally, the role involves supporting rhythm of business activities, such as monthly or quarterly cycles, and assisting with big group team meetings. The role also requires being a resource to managers for questions about policy, tools, and company practices

 

 

Candidate Requirements

  • Years of Experience Required:  The role requires a minimum of three years of experience, with a preference for candidates who have five  overall years of experience in the field.
  • Disqualifiers: Candidates with Candidates with primarily executive admin experience focused solely on calendars and travel, without a broader skill set, will not be eligible for the role will not be eligible for the role.
  • Best vs. Average: The ideal resume would contain  experience working with a sales team, as sales environments are unique and such experience is appealing. Additionally, a diverse skill set, such as that of a former office or facilities manager, indicating flexibility and the ability to learn and apply skills in various contexts, would stand out. Proactivity and the ability to clear hurdles for others are also key traits for success in this role   

Business Administrator 

  • We are seeking an experienced Business Administrator to provide support for two Senior Directors, Global Media Sales & their respective sales teams.
  • This position requires excellence in primary administrative functions, as well as the responsibility for executive-level interfaces, contact with partners, as well as contact with all levels of Client employees. 
  • The ideal candidate for this role will need to be able to navigate and change directions quickly within a fast-paced environment, have stellar interpersonal skills and initiative, demonstrate good judgment, maintain a high level of confidentiality, set priorities, and handle multiple tasks simultaneously.
  • Being detail-oriented and having consistent and timely follow-through will be essential to success.
  • A calm and reassuring manner, bringing confidence and focus to the role will be highly valued.

 

Responsibilities

  • Proactively manage complex calendars with the utmost attention to accuracy and timelines.
  • Plan and coordinate complex domestic and international travel itineraries.
  • Prepare expense reports in a compliant and timely manner. Ensure expense policy compliance across the team.
  • Work closely with Business Management on aligning Rhythm of the Business processes and operations with the Director’s calendars and ensure tight coordination of commitments.
  • Coordinate scheduling and logistics for All Hands, team meetings, morale events and offsites, including venue selection and all meeting details following Client procurement guidelines.
  • Manage and maintain team distribution groups (aliases), headcount, space planning.
  • Team hardware and operational budget tracking while enforcing global policy compliance
  • Provide administrative support to include opening new hire requisitions, onboarding of new employees, equipment procurement and space allocation for new hires.
  • LT & team admin support when required. Partnership with the GLOBAL admin team.
  • Interact with C-level client contacts or their admin to set up client meetings.
  • Work on special projects as needed.

 

Qualifications

  • 3+ years of senior level business administrator experience in a fast-paced environment supporting high level executives & global sales teams.
  • Proficiency with Client software including Outlook, Word, Excel, PowerPoint and Visio. Ability to use or experience in Client internal tools (MS Travel, MS MyExpense, Employee Central, HeadTrax, iCIMS, HR Insights Catalog, MS Space, MyOrder, IDWeb, AssetLink, etc.)
  • English: effective written and oral communication skills, second language is a bonus.
  • Be able to execute in relatively ambiguous and complex situations, prioritizing and juggling multiple projects at once, work independently, be self-motivated and action oriented.
  • Able to build effective working relationships inside and outside the group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
  • Exercises sound judgment, tact, diplomacy, and professionalism applied in all transactions, maintenance of utmost confidentiality with sensitive and personal information.

  • Performs a variety of complex administrative functions for all levels of management including external business partners.
  • Manages schedule(s), coordinates travel arrangements and processes business expenses.  Coordinates meetings and events, department financial operations, personnel operations, and facility operations.
  • Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. 
  • Provides general office support.  Serves as the department/group contact.  Completes special projects as assigned.
