  Job Description

Hours per Week 32

Shift Details: 8am – 3pm/ Mon – Thurs = 32.0
 
Experience: 3-5 yrs expr; Admin experience; flexibility to manage ad hoc reporting/projects
 
Preferred Experience: Healthcare industry and Admin exp. 
 
Key Skills: Proficiency in excel; strong verbal and written communication skills
 
Education: HS diploma or equivalent work experience in a related field.. (Associate with no skill not apply)
 
Location: 100% onsite/ Irving, TX 
 
Duties: submitting invoices to a purchasing system, reporting/tracking registrations of attendees (with training, other Client events) 
  • Complete transparency spreadsheet for BTA account. 
  • Process customer invoices that may come from a CDEC visit. 
  • Travel arrangements for Site Visits
  • Check/ACR requests in Ariba for one off payments such as grant, registrations etc
  • Manage Ariba- all vendor SOWs/Invoices/POs/MSAs
  • Check/ACR requests in Ariba for one off payments such as grant, registrations etc
  • ARIBA
  • Input speakers and pay speakers for their services. 
  • Input new vendors and speakers into Ariba. 
  • Customer travel
  • Set-up and pay customers for any travel reimbursements (ie: parking, mileage, etc).
  • Reconcile the Business Travel Account (BTA) for all CDEC customer travel. 
  • Training scheduling and building management

Duties:

  • Provides administrative support to executive-level management: meeting scheduling, travel arrangements, correspondence, report preparation, tracking department budgets and meeting planning/preparation.
  • Handles all routine mail or inquiries and sets priorities to projects assigned.
  • Keeps an accurate calendar of appointments, meetings and due dates for executive.
  • Requires previous experience and may require additional training specific to the corporate culture and procedures.
  • Functions with minimal supervision.
