  Job Description

Title: Admin Assistant / Receptionist

Location: Saddle Brook, NJ (fully on-site)

Duration: Six-month assignment with the possibility of extension or conversion to full-time.

Working Hours: 8:30 AM to 5:00 PM, Monday to Friday (no early mornings, late evenings, or overtime expected)

 

Description

  • Assist with the workflow of new insurance policies as they go through the stages of application, underwriting, policy issue, delivery, and payment
  • Coordinate underwriting requirements for new insurance applications by interacting with agents, clients, outside medical vendors, and underwriters
  • Assist in the training and development of agents in the areas of underwriting and new business (presentations, face to face, virtually)
  • Facilitate the onboarding of new agents by processing their contracts and licenses
  • Answer incoming calls and greet guests
  • Support management in a variety of duties such as preparing for meetings, event planning, creating reports, pulling documentation for compliance reviews, etc.

 

Qualifications

  • Ideal candidate should have experience in a customer service and/or administrative role
  • Excellent written and verbal communication skills
  • Strong computer skills with proficiency in the Microsoft Office Suite
  • Proven ability to multi-task effectively
  • High school diploma or equivalent.
  • Minimum of one job with customer service experience (not necessarily in an office setting).
  • No major gaps in work history or excessive job-hopping.

   

Responsibilities:

Core Tasks:

  • Answering and transferring phone calls (single-line phone system).
  • Managing the office conference room calendar (booking and scheduling).
  • Performing data entry using Microsoft Office tools (Excel, Outlook, Planner).
  • Supporting ongoing projects and daily office tasks.
  • Handling customer service interactions as the first point of contact.

 

Additional Duties:

  • Assisting with various administrative responsibilities based on the candidate's skills and progression.

 

Requirements:

Mandatory Skills:

  • Proficiency in basic Microsoft Office tools (Excel, Outlook, Planner).
  • Strong customer service abilities, as the role involves representing the company professionally to clients and staff.
  • Clear and professional communication skills (verbal and written).
  • Ability to adapt quickly to proprietary Client systems (training provided).
  • Reliable transportation (must be able to commute to the office daily).

 

Preferred Skills:

  • Familiarity with Microsoft Planner.
  • Previous office or receptionist experience is a plus, though not required.
  • Some experience handling data entry.

 

Soft Skills:

  • Professional demeanor, both in-person and online (e.g., social media).
  • Consistent attendance and reliability.
  • Ability to work well in a team of 10 staff members within a broader unit of ~25 employees.

  • Attire: Business casual.

Professionalism:

  • Maintain a polished appearance as this role is client-facing.
  • Social media profiles should reflect professional standards (no inappropriate content).
