Candidate Location Requirements: onsite San Francisco, CA office

If hybrid, # of days contractor will be required to work onsite: 2 days a month

Daily Schedule & OT estimate: 10-12 hours a month split over 2 days in office. 4pm-9pm PST – You Will be the EVENT HOST for 2 different monthly meetings, each meeting 5-6 hours.

  • Minimum 4 years experience with onsite event management
  • Minimum 4 years experience with Planning, Organizing, and Executing – You should enjoy and be effective while running multiple work streams with different cadences and stakeholders.   
  • Minimum 4 years experience with experience in hospitality, events, or experiential marketing.

Typical Day in the Role

  • Purpose of the Team: The Client team is looking for an experienced, passionate and collaborative Event Planner to manage event operations for our Client San Francisco. 
  • In collaboration with our worldwide team, this individual will be responsible for implementing onsite community events to strengthen and deepen our relationship within tech communities. 
  • The position requires a detail-oriented and customer-obsessed person to work effectively across a diverse group of stakeholders to help organize and execute operational excellence within the Client space. 
  • The right candidate will be passionate about serving the developer community, enthusiastic about on-site events, and comfortable working independently.

Key projects:

  • The Reactor EP will truly be an evangelist for the Reactor SF and the events and programs that will take place at Reactor locations around the world. 
  • This is a unique opportunity to work as part of an energetic and dedicated team and provides a front row seat in an exciting group which is in growth mode as we redesign how client engages with the developer community.
  • Typical task breakdown and operating rhythm: The role will consist of 100% in person event support. 2 events each month.

Responsibilities

  • Provide the highest level of customer service to anyone who enters the Reactor.
  • Remain visible, accessible, and available to event owners and attendees to promptly resolve any inquiries.
  • Ensure onsite operations are executed seamlessly and that troubleshooting is navigated in a friendly, efficient manner.
  • Work closely with worldwide Reactor PMs and community groups to implement consistent events, programs, and presence which emanates a welcoming, hip environment where developers, AI enthusiasts, and entrepreneurs want to be.

Summary:

  • The main function of an events coordinator is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical events coordinator acts as information and communication managers.

Job Responsibilities:

  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents.
  • File and retrieve corporate documents, records, and reports.
  • Open, sort and distribute incoming correspondence, including faxes and emails.
  • Prepare responses to correspondence containing routing inquiries.

Skills:

  • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
  • Ability to work independently and manage one’s time.
  • Ability to keep information organized and confidential.
  • Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.

Education/Experience:

  • High school diploma or GED required.
  • 5-7 years experience required.
