Redmond, WA; HYBRID; 3 days/week onsite, 2 days/week can be .

Monday to Friday 40 hours/week, no OT expected.

Prior Microsoft experience, specifically knowledge with applications including iCIMS, MSExpense2, MyOrder, Travel, IDWEB, MSSpace and EC is a plus.

Top 3 Hard Skills Required + Years of Experience

  • Minimum 4 years experience with calendar support in Outlook.
  • Minimum 1 year experience with supporting a GM level executive including travel and expense processing.
  • Minimum 2 years experience working with large teams (over 50 members).

Typical Day in the Role

  • Purpose of the Team: The purpose of the Growth & Innovation team is working on supporting customer incidents, focusing on modern work systems.
  • Support members of the growth & innovation team with calendaring for one General Manager (GM) and general team support for around 200 team members.
  • The role will also include booking some travel for the GM including some international travel, likely 3-5 trips a year. The role will not require advanced excel skills, a solid foundation of skills in excel Basic excel skills
  • Typical task breakdown and operating rhythm: The role will consist of 75% calendaring, 25% team support, travel & expense submission, ad hoc administrative work included in job description.

The Growth & Innovation team is looking for a driven, high-functioning Business Administrator to support a fast-paced and dynamic global team.   • This position will support one GM and worldwide team of ~200 employees, in partnership with members of the Business Management team.
  • The position requires consistent collaboration with the Business Management team and Leadership Team, a willingness to understand the business, and motivation to help drive our shared business priorities.
  • The successful candidate will have the ability to prioritize and communicate effectively with a great attention to detail, and will interact with all levels of employees, from executives to new hires as well as external partners.

Primary Responsibilities include, but are not limited to:

  • Calendar support for GM with attention to accuracy, timeliness, and alignment with Senior Leader’s priorities and commitments (strategic time prioritization).
  • Ability to analyze and respond appropriately to scheduling trends and anticipate meeting needs.
  • RoB logistics and execution aligning to key timelines and deliverables
  • External Staff Management: onboarding, offboarding, tracking positions
  • Procurement: hardware, office supplies, etc. and tracking
  • Coordinate logistics for team meetings and events including morale
  • Data management such as Position Number hygiene, recruiting administration, & discretionary budgets and expense report processing
  • New hire onboarding: hardware procurement, space assignment, coordinate office moves
  • Opportunity to take on special projects as needed
  • Strategic prioritization in managing a high volume of incoming requests, typically via email
  • Ability to work and manage time in a 24x7 business
  • This role does have some physical demands including lifting, carrying, pushing, moving items of light to medium weight
  • Office space maintenance and facilities requests

Qualifications:

  • 4+ years of proven relevant work experience in administrative assistance, business management and customer service
  • Experience with event management or coordinating logistics for complex meetings and events
  • Strong communication, verbal and written, and interpersonal skills, tact, diplomacy, integrity, negotiation, and professionalism
  • Analytical thinker
