Hybrid; Needs to be able to come into the office at least once a week, on occasion more often.

This will be an 18 month contract but we will have to extend after the fiscal year

Typical Day in the Role

  • Purpose of the Team: The purpose of this team is sales.
  • Key projects: This role will contribute to calendar management & travel expense.
  • Typical task breakdown and operating rhythm: The role will consist of assisting 3 managers, 5% meetings, 40% calendar work, 10% travel expenses, the rest email and teams chat communication.

  

Candidate Requirements

  • Years of Experience Required: 1-2 overall years of experience in the field.
  • Best vs. Average: The ideal resume would contain experience with Outlook, and some type of customer service experience.

 

Duties

  • Performs a variety of complex administrative functions for all levels of management including external business partners.
  • Manages schedule(s), coordinates travel arrangements and processes business expenses.
  • Coordinates meetings and events, department financial operations, personnel operations, and facility operations.
  • Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships.
  • Provides general office support.
  • Serves as the department/group contact. Completes special projects as assigned.

 

Executive Business Administrator, Americas SMC

  • The Americas SMC (Small, Medium & Corporate) Sales Team has an immediate opening for a highly motivated Executive Business Administrator supporting three Managers in SMC.
  • This person will also provide back up support to the Executive Assistant, provide team support and help with special projects/events as needed.
  • To be successful in this role, you should have strong organizational skills and attention to detail, be self-motivated, a team player and have excellent communication and interpersonal skills.

 

Responsibilities (include but not limited to) 

  • Support of three managers with calendar, travel and expense reports as well as helping their direct reports as needed.
  • Providing larger team support (including morale events, new hire onboarding and off boarding), procurement of goods and services including computer equipment, office supplies, reference materials, asset tracking and facility requests.
  • Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in communicating information and working with all levels of employees.
  • Build and maintain good business relationships with executive level and counterpart administrative staff both internally and externally.

 

Required Qualifications: 

  • 1-2 years of experience as a Business Administrator or similar discipline
  • Possess a working knowledge of MS products, Outlook, Excel, Word, PowerPoint, Visio and SharePoint
  • Experience with MS internal tools (MS Expense, Employee Central, etc.) is a plus

  • Have high integrity and be able to handle confidential information appropriately.
  • Able to deal with ambiguity, make independent decisions, be proactive and drive tasks to closure.
  • Capable of juggling multiple projects at once, actively track pending items and constantly re-prioritize tasks based on changing business needs.
  • Have a high level of effective interpersonal skills, integrity, self-awareness and excellent customer service skills.
  • Must possess a proven track record of excellent judgment, problem resolution, team work, negotiation,budgeting and analytical skills, decision making skills and the ability to work under pressure.
